Job summary
An exciting opportunity has arisen to work as an Admin Officer/secretary within Infectious Diseases and Dermatology, working with the Matron and Senior Nursing Team. This would be an ideal opportunity for someone looking to expand their experience and knowledge. The successful candidate will provide comprehensive admin and secretarial support within the Infectious diseases and Dermatology senior Nursing Team based at the Royal Hallamshire Hospital. The post is 37.5 hours per week and is a friendly and fast paced environment.
Main duties of the job
- Prioritise and organise own day-to-day work schedule, completing work within agreed timescales
- Prepare and produce high quality correspondence, minutes, agendas, papers and reports using Microsoft Word and Excel
- Exercise discretion and maintain a high standard of confidentiality, communication and interpersonal skills including telephone enquiries
- Take telephone messages and disseminate to appropriate staff as required
- Monitor appraisal compliance levels in the nursing team, book appraisals for the team, and update ESR to reflect.
- Assist clinical educators to ensure competency packages are up to date.
- Provide administration support in relation to patient group directives.
- Provide secretarial support to the Matron and Senior Sisters
- Organise and hold the Matrons diary
- Record sickness and absence for nursing staff
- Maintain and update databases in relation to nursing i.e. revalidation, training etc.
- Update changes on E roster and other electronic databases to maintain a live system
- Provide regular reports on daily nurse staffing situation as required
- Work with Nurse in Charge to submit daily situation report
- Attend meetings when required to take minutes and provide organisational support
- Read and deal with post and emails on arrival, filtering and disseminating or re-directing them when appropriate
- Disseminate information by email, post, fax and telephone
