Team Secretary - Mental Health Support Team (MHST)
Part Time Monday to Friday | Based initially at Highbury Hospital, Bulwell
An exciting opportunity has arisen for a Team Secretary to join our Admin Team supporting the Mental Health Support Team (MHST).
MHST is an early intervention wellbeing service supporting children, young people, and families with low-level emotional wellbeing needs such as anxiety, low mood, emotional regulation, and sleep difficulties.
Working Hours:This vacancy is for apart time colleague, with working hours between 8:00am-4:00pm or 9:00am-5:00pm, Monday to Friday.There is afixed requirement to work every Friday; other working days arenegotiableand can be discussed at interview.
Location:The role will be based at Highbury Hospital, Bulwell, Nottingham for training and an initial period. After training period, this role could be based in any location within Nottinghamshire.
Please note applicants will be required to pay for their DBS check. Costs are deducted from salary following appointment. The cost of the DBS application is £26.40 (standard) or £54.40 (enhanced), this cost will be deducted from your salary over the first 2 months of employment.
You are encouraged to enrol for the DBS Update Service. An annual fee of £16 per year applies.
Main duties of the job
As Team Secretary, you will provide high-quality secretarial and administrative support to the CAMHS Mental Health Support Team (MHST). Your role will include managing diaries, handling correspondence, producing documents and reports, minute-taking, and coordinating meetings and events. You will be the first point of contact for enquiries, ensuring efficient communication across the team and with external partners.
You will also be responsible for maintaining accurate records, supporting HR and training processes, ordering supplies, and ensuring data quality. The role requires excellent organisational skills, confidentiality, and the ability to work both independently and as part of a team. Flexibility to travel across sites may be required as the service expands along with supporting at service events.

As aTeam Secretarywithin the CAMHS Mental Health Support Team (MHST), you will play a vital role in delivering high-quality administrative and secretarial support to a dynamic and expanding early intervention mental health service.
Key responsibilities include:
Secretarial and Administrative Support:Provide a professional and confidential secretarial service, including diary management, handling correspondence, , document production, and electronic filing.
Meeting Coordination:Organise and support meetings and events by booking venues, preparing agendas, recording attendance, and taking accurate minutes.
Communication and Enquiries:Act as a first point of contact for internal and external enquiries, ensuring timely and appropriate responses and forwarding to relevant team members.
Resource Management:Monitor and order stock and non-stock items, book travel and accommodation, and support the coordination of MHST events and training sessions.You will also be expected to maintain, plan and order promotional stock for the service.
Information Governance:Handle sensitive and confidential information in line with Caldicott principles, GDPR, and Trust policies, ensuring data quality and integrity.
Flexibility and Teamwork:Work independently and collaboratively within the admin team, providing cover across both sites as needed and supporting the wider MHST service as it grows.
Service Development:Contribute to service improvement by proposing new ways of working and supporting audits and surveys within your area of responsibility.
This role requires excellent organisational and communication skills, a proactive approach, and the ability to manage competing priorities in a fast-paced environment. Youll be expected to demonstrate the Trusts values of Trust, Honesty, Respect, Compassion, and Teamwork in all aspects of your work
