An exciting opportunity has arisen for an experienced Administrator to work with the Integrated Healthcare Team at HMP Nottingham , providing extensive administration support.
This role requires an enthusiastic individual with the ability to prioritise their workload, have excellent organisation skills and the ability to work with competing priorities and demands. The successful candidate must be able to work on their own initiative and as part of a wider team.
This unique environment offers the opportunity to work with different organisations and subcontractors and support the delivery of care across a range of services including primary care, mental health and substance misuse.
The Offender Health Care Group is one of the largest and most successful providers of prison healthcare in the UK. The Care Group provide physical, mental health and substance misuse healthcare services in prisons across the East Midlands, Lincolnshire & Leicestershire.
Please note applicants will be required to pay for their DBS check. Costs are deducted from salary following appointment. The cost of the DBS application is £26.40 (standard) or £54.40 (enhanced), this cost will be deducted from your salary over the first 2 months of employment.
You are encouraged to enrol for the DBS Update Service. An annual fee of £16 per year applies.
Main duties of the job
To provide an efficient, comprehensive administrative service to the Integrated Healthcare Team, supporting the clinical team in the organisation and facilitation of patients referrals, hospital appointments and ongoing patient care/treatment. Also maintaining patient records and databases on SystmOne.
Liaising with external organisations where required, i.e. hospitals, other prisons and partner agencies and colleagues within this prison.
The Care Group provides healthcare to 7 prisons. You are part of a large peer group of 400+ healthcare professionals with access to peer support, supervision and excellent opportunities for learning and development. We also offer services within the Personality Disorder Pathway, including Therapeutic Communities (within prisons), Community and Prison Personality Disorder services and specialist Veteran Services.

Provide comprehensive secretarial, clerical and administrative support to the Assistant Practice Manager, Head of Healthcare, GPs, Nurses and Team Leaders. Ensuring provision of work is to a high standard of accuracy and presentation, often working to tight deadlines and under pressure.
Liaise with external organisations as required, contributing to continuity of care for patients e.g referrals, hospital appointments.
Word process correspondence including letters, memos and collating reports.
Filing, photocopying, scan and attaching documents.
Input data and maintain databases.
Input accurate data onto SystmOne ensuring timely and accurate reports are provided to the Assistant Practice Manager and Head of Healthcare.
Support the clinical team in the organising and facilitation of clinics and diaries, using SystmOne rota types and ledgers.
Manage the SystmOne rotas, ensuring accurate records for data collection.
Be responsible for data collection from SystmOne.
Attend meetings as a minute taker and be responsible for producing and circulating minutes.
Be responsible for managing own workload, consulting with the Assistant Practice Manager if required.
The duties and responsibilities of the post will be undertaken in accordance with the policies, procedures, and practices of Nottinghamshire Healthcare NHS Trust. It is the post holder's responsibility to ensure they keep up to date with these policies and other policy documents. This includes Infection Control and Health and SafetyPlease note that this post does not meet the pay level required for a Skilled worker visa.Successful applicants with no prior NHS experience would normally be placed at the bottom of the band in line with Agenda for Change.
