Job summary

We are looking for a driven business leader to support our Community Health Services Care Group, to provide efficient and accurate business management to the Care Group Director, Care Group services, and stakeholders.

The Care Group Business Manager will lead the administrative function to provide an efficient and effective business support service, personally manage specific projects, monitor outcomes of programmes, lead the Care Group Director's Office, and ensure the Care Group and it's Director achieve key performance indicators, targets, and objectives.

Main duties of the job

This role requires an experienced professional in office administration with a detailed understanding of financial management, with excellent interpersonal skills and sound knowledge of Community Health Services as well as the Trust Business Agenda.

To articulate and influence the business agenda within Community Health Services with delegated authority to oversee on behalf of the Care Group Director.

To use specialist senior secretarial and administration expertise to advise the care group senior leadership team on service developments.

The post holder will be able to demonstrate the confidence and understanding to respond to enquiries.

The post holder will deliver through project management principles service modernisations across a constantly changing agenda determined by national guidance and the Trust stakeholders.

Job responsibilities

Working as an integral member of the Care Group senior leadership team providing business support and programme management to the Care Group Director. To personally manage specific projects and to monitor outcome and effectiveness of such projects. Overall responsibility for the management of the Care Group Directors Office data and processes and supporting the Care Group to achieve its key performance indicators.

To ensure effective confidential administration, secretarial and organisational (business) support is provided to the Care Group Director to enable them to work to their optimum in terms of efficiency and organisation.

The post holder will lead the operational management and ongoing development of the administrative team function to support the ongoing needs of the Care Group.

To undertake the role of project lead for specifically identified projects within the Care Group Directors Office, monitoring the outcome and effectiveness of such projects.

The post holder is required to provide technical and analytical skills to support the senior leadership team in the redesign of services as well as manage maintain and develop information systems for the Care Group.

To be a member of the Care Group senior leadership team and strategy groups.

To represent the Care Group as designated lead at a range of non-clinical Trust meetings.

Manage and monitor data quality indicators, investigate and ensure achieved, regularly reviewing systems and processes.

To lead on specific aspects of services and projects ensuring that relevant people have appropriate information about their role, ensures resources are available as required.

To strategically plan for current and future business support needs with the anticipation of developments and risks in the profession and Trust services. Through providing technical and analytical skills to the team, promote a culture of continuous learning and improvement, and share knowledge to improve patient care.

Lead a team of administrative staff and function to provide an efficient and effective administration andbusiness support service. To provide business support to and manage upwards to the Care Group senior leadership team. To work autonomously to provide a comprehensive and high-quality Business Manager / Admin Lead service. Overall management of an office. Budget control of team, service, function, and office.

To provide senior business support to the Care Group Director to include production of detailed reports to tight deadlines.

To work autonomously to provide a comprehensive and high-quality Business/Development manager service to the Care Group Director.

To project lead developments and specific projects as required.

Lead the administration structure to provide an efficient administration, secretarial and reception service to the Community Health Services staff, visitors, and service-users.

Authorised signatory for the Community Health Services administration budgets up to £30,000 including delegated authorised signatory responsibility to other budgets where required, and delegated responsibility to manage specific administration budgets.

Liaise with senior leadership team and General Managers to ensure the communication systems maintain and maximise efficiency of the Care Group.

To contribute to and inform the business planning process by identifying areas for development within the administrative function, in liaison with the senior leadership team.

Investigate non-clinical complaints and serious untoward incidents ensuring that procedures are in place for processing complaints in accordance with Trust Procedures.
