Job summary

The Ward Administrator is responsible for the provision of accurate and timely day-to-day administrative support for the ward team, working independently on assigned tasks within Trust policies and guidelines, or with minimal supervision, using their own discretion.

We are looking for someone who is able to multitask in a busy environment, communicate confidently, prioritise their workload, meet deadlines and build strong working relationships with a variety of people.

Main duties of the job

The postholder is required to have excellent interpersonal skills with senior members of the staff, multi-disciplinary teams, patients and members of the public.

To assist the ward with all aspects of ward related administration.

To receive telephone calls and messages sensitively always ensuring effective communication, courtesy and the highest levels of confidentiality.

To have the ability to defuse challenging situations in a calm manner, and to solve a problem.

To liaise effectively with other departments, organising admissions and discharges.

To deal with the possibility of having sight of personal medical information regarding friends or relatives, maintaining confidentiality, and delegating this task if necessary.

To be competent and confident in IT and the use of the internet.

To cover reception duties as required.

To report incidents to Senior Sister/Admin Team Leader and assist in completion of incident forms, inputting onto computerised system and taking subsequent actions as required.

Communicate any Health and Safety issues or faults within the ward environment

Participate in team and Trust meetings as requested.

Qualifications

Essential

  • Business & Administration/Customer Service Level 2 qualification or equivalent experience in working in administration or prepared to undertake within agree time scale.
  • Evidence of administrative knowledge and skills equivalent to level of qualification.
  • Good general standard of education to GCSE level 4 or equivalent.
  • Excellent IT skills, i.e. Microsoft Word, Excel.

Desirable

  • Knowledge in all clinical computer systems used within the role.

Experience

Essential

  • Previous administrative experience and working as part of a team.
  • Previous experience of working face to face with the public in a busy environment, preferably frontline.

Desirable

  • Health Care Sector administrative experience.
  • Experience of working in a hospital environment.

  • Car driver with a valid driving license or have access to transport with appropriate business insurance in order to travel to other sites to meet the needs of the service.
