About the Role

As an ICSS Booking Administrator, you will play a vital part in supporting the smooth running of the Integrated Community Stroke Service. You'll be responsible for booking outpatient clinic and home visit appointments, handling a range of administrative tasks, and acting as the first point of contact for patients, families, and professionals. Your role will include:

*Managing appointment bookings for clinics and home visits

*Handling telephone enquiries and messages with sensitivity and professionalism

*Providing comprehensive administrative support to the multi-professional team

*Maintaining accurate records and supporting the efficient running of the ICSS office

*Liaising with colleagues, patients, families, and external agencies

*Upholding confidentiality and Trust values at all times

Main duties of the job

*To receive telephone calls and messages sensitively, always ensuring effective communication and courtesy.

*Demonstrate the ability to defuse challenging situations in a calm and professional manner.

*Liaise effectively with other departments to support smooth service delivery.

*Maintain confidentiality when handling personal medical information, including that of friends or relatives, and delegate tasks if necessary.

*Respond to telephone enquiries from members of the public, GPs, and staff from Acute Trusts/Agencies, redirecting as appropriate.

*Report incidents promptly to the Administration Team Leader, assist in completing incident forms, input data into the computerised system, and take subsequent actions as required.

*Book and manage both outpatient clinic appointments and home visit appointments, ensuring all associated administration is completed accurately and in a timely manner.

*Attend department meetings as directed by your Administration Team Leader.

*Maintain effective and efficient office systems including filing, post, diaries etc.

  • *Good general standard of education to GCSE level 4 or equivalent.
  • *Excellent IT skills, i.e. Microsoft Word, Excel

Experience

Essential

  • *Previous administrative experience and working as part of a team.
  • *Previous experience of working face to face with the public in a busy environment, preferably frontline.

Desirable

  • *Health Care Sector administrative experience
