Job summary

We are seeking a Band 3 Secretary to join our Community Mental Health Team at Barnfield Unit, Minehead Community Hospital. This is a vital role within our service, ensuring that the administrative backbone of the team runs smoothly so that clinical staff can focus on delivering high-quality care to patients.

As a key member of the team, you will provide comprehensive secretarial and administrative support, acting as the first point of contact for service users, carers, and professionals. You will manage a variety of tasks, including handling calls, organising appointments, maintaining accurate records, and supporting meetings. Your role is essential in creating a welcoming and efficient environment for both staff and service users.

Main duties of the job

  • Provide comprehensive secretarial and reception services, including telephone duties, audio typing, filing, and mail handling.

  • Act as the first point of contact for incoming calls, ensuring courteous and effective communication.

  • Organise and maintain appointment and room booking systems for the team.

  • Maintain accurate administrative records, including referrals, attendances, and discharges.

  • Process petty cash transactions and order supplies in line with Trust policies.

  • Support meetings by preparing papers, taking notes, and ensuring refreshments and resources are available.

  • Assist with data entry on the Trust's computer systems for appointments and patient records.

  • Provide cross-cover for colleagues during periods of absence and assist with induction of new staff.
