Somerset Adult ADHD Service Team Secretary

Job summary

We have an exciting opportunity for a highly motivated and organised Secretary (Band 3) to join our dynamic ADHD administration team based at Glanville House, Bridgwater. This role is vital in ensuring the smooth and efficient running of our service by providing high-quality secretarial and administrative support.

We welcome applications from individuals with strong secretarial and administrative backgrounds who are eager to support service users and clinical teams in delivering high-quality care.

Main duties of the job

  • Provide comprehensive secretarial services including audio typing, telephone duties, and minute-taking.

  • Handle all incoming and outgoing communications (post and email) efficiently.

  • Maintain accurate and confidential client records, both paper and electronic.

  • Manage petty cash, stationery supplies, and office equipment maintenance.

  • Organise appointments, meetings, and maintain room booking systems.

  • Support colleagues during periods of absence and contribute to onboarding new staff.

  • Ensure a courteous, professional point of contact for all team-related enquiries.

  • To assist with entering data, using Microsoft Office Packages regarding referrals, appointments, treatment, and reviews.

This is a varied and flexible role requiring excellent organisational skills and the ability to work well both independently and as part of a team. The successful candidate will be responsible for a wide range of duties, including secretarial support for the ADHD service, and adapting to the changing needs of the team.

You'll work closely with a variety of stakeholders, including clinicians, administration teams across the Trust, service users, carers, and external agencies. As part of our commitment to service development, you will be expected to take initiative, manage multiple priorities, and maintain high standards of confidentiality and professionalism.

Your responsibilities will also include:

Experience

  • Experience of setting up and maintaining office systems and procedures that support the smooth running of the department.Knowledge and experience of Microsoft Office Packages.Previous administrative experience.

Desirable

  • Experience of contact with users of mental health services.
