Digital Services Administrator

Job summary

The role will be required to provide flexible and diverse administrative support functions to the Digital Service and project management function. Provide PA support on an ad hoc basis to senior Digital managers.

Internal contacts with staff at all levels, in person, by phone and by email. Main day-to-day contacts are with IM&T and Digital Programme staff, as well as staff from across the organisation.

A good working relationship is required with many members of the IM&T Service to produce the required information to meet deadlines.

Main duties of the job

To provide flexible and diverse administrative support functions to the Digital Service and project management function.

Receive telephone calls, accepting messages on behalf of members of the specialty team, taking appropriate action where necessary. Phone calls can often involve confidential and sensitive information in connection with disciplinary and other HR matters, staff salaries and payments, and supplier contract information. Care and discretion must be used in passing on information tactfully without being indiscreet, whilst ensuring that important messages are delivered. Calls include daily queries from IM&T Services staff, customers, and suppliers.

Exposure to sensitive information with respect to service issues.

Exposure to confidential information as part of providing support to the CIO.

Report any deviations from Finance or Procurement processes.

Ensuring quotes, invoicing and orders are processed in a timely manner in line.

Supporting Digital Services managers with personnel queries, e.g. sickness.

Ensuring that Digital structures, JDs and contact lists are kept current.

Organising meetings and ensure that papers are produced and circulated in a timely manner.

Co-ordinate and participate in any special duties, including designated project work or tasks for the Senior Management Team as appropriate to achieve the delivery of an efficient, proactive and high profile administrative service.
