Job summary
To provide an administrative service to Matrons, Ward managers and Heads of departments within the Community Hospital.
To line manage and support the Hospital administrative team across all departments within the hospital.
To organise own workload and work closely with the other administrators within the hospital to deliver administrative support.
To work within the trust values and core standards to always maintain a service to staff.
The postholder will be expected to work flexibly across the cluster of community hospitals to provide cover when colleagues are on leave.
Main duties of the job
Managing the Matron's electronic diary, booking/amending appointments using own discretion, ensuring attendance as required to Trust meetings, noting apologies & arranging representation where needed.
Arranges meetings between the Matron/Ward Manager & staff for Human Resources issues and sickness monitoring -- taking & transcribing accurate minutes ensuring confidentiality, composing letters on behalf of Matron.
Responsible for off duty rosters for all admin team
Contribute ideas and opinions to assist in providing a high quality service for patients. Contribute to the management and implementation of change in the workplace.
Responsibility for coordinating hospital appraisal schedule for the administrative team ensuring that paperwork is completed correctly & filed for all staff, updates & returns hospital appraisal trees & records to Trust.
Maintain data bases and prepare statistical reports
Advises on specific delegated projects in support of the work of the Matron which includes the development of templates, tools and prompts to ensure key targets can be met & providing evidence where needed e.g., Mandatory Training, Appraisals, Local Action Plans
Line Management of clerical team Personnel Files
Monitor all admin sickness and follow Trust sickness policy to include HR involvement if
Carry out appraisals for all Band 2 and Band 3 admin
To be the first point of contact for staff for advice e. sensitive staffing issues or finance information.
