Job summary

To work with the Admissions and Outpatients Manager to organise the Outsourcing and Insourcing programme ensuring the Outsourcing spreadsheets and Trust EPR system is updated real time and to liaise with key stakeholders in its management.

To assist the coordination of a comprehensive patient centred admission service ensuring continuity in achieving excellence in patient care within local and national time frames.

If you are interested in this exciting development opportunity, please note this position is a 10 month secondment, until the end of March 2026.

Main duties of the job

Communicate effectively either by telephone, face to face or email with all staff responsible for the co-ordination of Outsourcing and Insourcing work. To weekly liaise with the Outsourcing sites on updates and actions. To update the Outsourcing spreadsheets, Patient Target Lists (PTLs) and the Trust EPR system real time.

Communicate effectively with Outpatient Supervisors and Waiting List Co-ordinators on all matters concerning their specialty waiting lists and admissions, highlighting the need for extra theatre lists as capacity demands.

Ensure that Outsourcing spreadsheets, PTLs and the Trust EPR system is accurate and up to date at all times.

Ensure that waiting list information is accurate at all times. Amend data in the Trust EPR system and validate Primary Target Lists (PTLs) to ensure that Clinical Information reporting is correct.

Track patients, pathways in the Referral to Treatment database to ensure that wait times are compliant with national targets.

Qualifications

Essential

  • NVQ Level 3 in Business Administration or equivalent, or demonstrable relevant experience
  • Good standard of Education up to GCSE or Olevel (A-C) standard
  • Computer/Word processing qualification or ECDL
  • NVQ Customer Care/Service

Experience

Essential

  • Level of knowledge and understanding of waiting lists, hospital booking processes and medical terminology to be able to work at the required standard.
  • Proven experience of working with elective waiting lists or similar.

  • Microsoft office applications eg Word and Excel
  • Basic knowledge of medical terminology
  • Evidence of a good standard of Literacy English language skills

  • Organise and prioritise the workload of self

There may be a number of complexities to consider when compiling transferring so careful analysis and recording of patient data is essential.
