Job summary
The post holder will provide operational support to the SOM ensuring that all medical administrative staff are complying with Referral to Treatment national and local guidelines. Support and take necessary action to ensure patients pathways are progressed to achieve RTT and cancer performance targets which will also involve monitoring of data quality. Respond to PALS concerns and support the formal complaints process ensuring timely responses to concerns raised, undertaking demand and capacity reviews, overseeing the efficiency of rotas and scheduling outpatient activity including theatre activity, and other tasks as the need arises. The post holder will provide day to day management, recruitment, training and leadership to the administration team and will play a key role in the development of the administration service to streamline processes. This will include monitoring adherence to Trust targets and policies, auditing workloads, overseeing appraisals, sickness absence monitoring and performance management.
Main duties of the job
Provide and receive complex or sensitive information relating to staff, patients, relatives or carers which will require agreement and cooperation from colleagues at all levels across the organisation. Communication may be via multiple different means. Ensure effective communication within the administrative teams, to motivate and build staff morale and working relationships. To collate, analyse, prepare and communicate a wide range of information. The post holder is required to work unsupervised; using own initiative and be a specialist for their own area, being able to offer advice and guidance where necessary. Be prepared to share expertise and work flexibly across the Trust if required. Work as part of a team with other disciplines towards shared objectives. Oversee the efficiency of departmental rotas and scheduling, monitor clinic and theatre, utilisation. Using advanced knowledge, to collect data and lead on monitoring and managing RTT and cancer performance in accordance with the access policy. Identifying where actions are required, suggest a range of options available and communicating these as appropriate. Deal with patient, relative, GP and colleague queries or issues which administration teams are unable to resolve. Delegated responsibility for the secretarial budget within area of responsibility, ensure effective use of resources within budgetary constraints, in liaison with the Senior Operational Manager and the Dermatology Finance Manager.
