We are seeking 2 Administrators to join our team! 1 to provide maternity cover for 12 months, and the other to be a permanent member of the team.
This is an exciting opportunity that can offer you flexible and remote working to allow a better work-life balance. You will work from home in this role, however there will be occasional travel to Musgrove Park Hospital, Taunton and/or Yeovil District Hospital.
You will be joining our medical recruitment team, where you will be responsible for all elements of the medical recruitment administration across the Trust using our electronic recruitment system. You will be responsible for advertising all of our medical vacancies, setting up interviews for the Trust, carrying out pre-employment checks for all applicants and ensuring their file is compliant with NHS Employment Standard regarding all offer documentation, and right to work and DBS clearance checks.
Main duties of the job
This is an exciting and interesting role that will allow you the opportunity to take ownership of your work and to develop your knowledge of medical recruitment. You will be expected to manage your time effectively to ensure tight deadlines are met, you will be working alongside and speaking with experienced medical consultants within the Trust.
As this is a fast paced and demanding role, you will need to be self-motivated, well organised and able to work to a high standard of work, with strong communication skills.
Evidence of a high level of IT skills is required in order to manage the electronic recruitment management and staff records system.

- To provide administrative support to the Recruitment Team and Clinical Teams across Musgrove Park Hospital and Yeovil District Hospital ensuring a smooth and efficient candidate journey using our electronic Recruitment Management system Trac
- Ensure full compliance with NHS Employers Standards, employment legislation and organisation guidelines at all times
- To deliver a timely, accurate and customer focused service
- To manage own workload, demonstrate efficient organisation, initiative and ensure the smooth effective operation of the service
- Provide recruitment support, guidance and training on our Trac system to all hiring managers
- Maintain the confidentiality, accuracy and timely recording of all HR Data
Duties & Responsibilities
- To provide excellent customer service to all applicants and key stakeholders
- To process vacancy requests via the Trac system in a timely manner, ensuring all information including Trust Values, job descriptions, person specifications and risk assessments are available, fit for purpose and current
- To provide advice to managers, colleagues and applicants about the Trust
- Pre-employment checks and work permits process to ensure that these are completed in accordance with NHS Employment Standards as well as company policy
- To ensure regular contact is made with both the applicants and hiring managers either by telephone or Trac to ensure that the pre-employment process is managed efficiently, escalating any complex cases to the Admin Team Lead
- To provide regular updates to managers as required keeping them informed of an applicants position in the pre-employment process. Responsible for all chasing and incoming queries related to the staff file right up until the file has been handed to the hiring manager electronically
- Working alongside the Admin Team Lead to ensure that company KPIs are met with regards to time to hire targets
- To act as a point of contact for incoming recruitment enquiries, either face to face, by telephone or by email, including dealing with confidential or sensitive information
