Job summary

The role is to provide secretarial/administration support to a multi-disciplinary team which includes, Diabetes Specialist Nurses and Dietitians. The aim of the post is to improve health outcomes for people who have a diagnosis of diabetes, and to meet the needs of the growing diabetes population across West Suffolk.

The post holder must have good organisational and communication skills and be able to work under their own initiative and follow directions. They must also be actively engaged in service development for both administrative and clinical processes to maximise efficiency and ensure a good patient experience

Main responsibilities include, managing patient bookings & waiting lists to ensure patients are provided with treatment in a timely manner, respond to queries & requests for information within set procedural guidelines. Format letters to a high standard of accuracy & visual attractiveness and devising and maintaining efficient filing, clerical & office systems.

1. To contribute to effective communication by liaising, in a professional manner with internal and external parties and agencies as required on behalf of the team.

2. To deal with correspondence and communication.

3. To prioritise, co-ordinate and liaise with team.

4. To deal with telephone calls and general enquiries and maintain an efficient message system co-ordinating with team members.

5. To provide non-clinical information to internal and external customers, where necessary.

6. To be the first contact for service users/patients with diabetes, their families and others who arrive at the diabetes centre, always acting in a helpful manner.

7. To resolve the needs of service users and uphold the patients come first philosophy of the West Suffolk Hospital Trust.
