Job summary

An exciting opportunity has arisen to join West Suffolk Hospital Maternity Services as a Ward Clerk. We are looking for self-motivated, passionate and committed ward clerks that respond well to change and want to help us improve the care women receive in our service.

West Suffolk NHS Foundation Trust is responsible for providing personalised care to approximately 2,400 women during their childbirth experience. We offer both choice of lead professional and place of birth at home, on our co-located midwife-led birthing unit or multi-professional labour suite.

As a ward clerk you will play a key role in the provision of administrative and clerical support in maternity services. The clerk is an important and integral part of the ward / department team and applicants must be willing and able to act on their own initiative and organise their workload effectively to ensure an optimum level of efficient clerical support to the midwifery and medical staff in a timely and accurate manner.

The post holder will have contact with patients, families, and all members of the multi-professional team, as such providing front-of-house services for the Unit. Maternity is a 24/7 service which means as a ward clerk you will be expected to work rotational hours between day and night shifts to help support this service.

Hours to be discussed at interview up to 37.5 hours per week.

Main duties of the job

As a ward clerk you will play a key role in the provision of administrative and clerical support in maternity services. Some of these tasks will include:

Answering and dealing with incoming telephone calls and referring to midwifery staff as appropriate.

Having an active role in ward security, monitoring and answering the ward doors.

Ensures all case notes are maintained in good order with investigation results filed promptly.

Inputs and maintains contemporaneous data records of admissions, transfer and discharge information on e-Care data systems. Arranges outpatient and ultrasound follow up appointments for mothers and babies as required by each clinical area.

Informing other hospitals of discharges and taking discharge information from other hospitals via phone or email

Transports items, e.g. pathology specimens, drugs and health records between departments as required.

Participates in the rotation to all clinical areas within the Women & Children Division to provide clerical and reception cover as required.

Follows the guidance and instructions of the midwife-in-charge of the antenatal / postnatal ward, laboursuite or midwifery-led birthing unit.

Receives and relays messages to trained staff as required, including reporting of any discomfort or anxiety observed or expressed regarding mothers or babies and their families.

Assists with the transfer of mother to other hospitals or to the community.

Has an active role in ward security.

Ensures that all case notes are maintained in good order with investigation results filed promptly.

Communicates investigation and treatment results to other departments and GP surgeries as required.

Inputs and maintains contemporaneous data records of admissions, transfer and discharge information on e-Care and Cerner data systems. Arranges outpatient and ultrasound follow up appointments for mothers and babies as required by each clinical area.

Orders and maintains stationery stocks to include adequate supplies of patient information leaflets.

Ensures all post is dispatched in a timely manner.

Provides typing support as required.

At all times maintains a professional manner that does not attract negative comment or publicity from service users.

Knows and understands the nature and limits of the duties / role of Ward Clerk, including avoiding wasting resources, caring for hospital property and equipment, prevention of infection and personal protection.
