Job summary

An exciting opportunity has arisen within the West Suffolk NHS Foundation Trust to join our Medical Equipment Library service.

The equipment library is part of our EBME department and sits within the Facilities and Estates division.

The EBME department manages the repair and maintenance of medical devices within the trust and the Medical Equipment Library provides a range of medical devices for use from a pool of equipment which is kept clean and on charge to be ready for use when patient need arises.

We are looking for a motivated and self-disciplined assistant technical librarian, who can take the initiative and deliver a quality service ensuring life-saving medical devices are available to ward areas when and where required.

You will be based at the West Suffolk NHS Foundation Trust, Bury St Edmunds, Suffolk.

Main duties of the job

You will be responsible for organising, collecting, cleaning and delivering medical devices to ward areas as and when the need arises.

Answering calls and requests for equipment promptly and courteously.

Assisting the EBME team with making devices available for maintenance.

Carrying out checks and tests on a range of low-risk medical devices.

We are looking for a positive and dedicated team player, who has excellent communication and customer service skills and has basic IT skills.

You will need to work independently or as part of a small team and be familiar with the requirements of working in a healthcare /NHS environment.

To be responsible for the issue and collection of Medical Equipment Library (MEL) devices to Medical and Surgical wards.

To assist with the maintenance, servicing and Electrical Safety Testing of a range of basic medical devices. Ensuring devices are safe, functional, clean and ready for use when and where required. All work taking place in accordance with the Quality Management System.

Job responsibilities:

Key Tasks & Responsibilities:

  • To make regular deliveries and collections of MEL medical devices to wards and departments as required. Ad hoc and emergency deliveries or collections may also be required throughout the day. Certain activities will require handling and lifting of medical devices however appropriate handling equipment will be provided.

  • To undertake cleaning and safe storage of MEL medical devices, ensuring items are complete and available for re-use.

  • Advise on the selection of MEL medical devices and instructing users as appropriate.

  • Refer technical issues to experienced staff relating to potentially hazardous symptoms and faults.

  • Collecting and delivering equipment as required.

  • Ensure the safety, efficiency and reliability of MEL medical devices by regular checks and function tests in accordance with the manufacturers instructions.

  • Supporting logistics relating to medical equipment as required for Preventative Maintenance or Repair.

  • Record all loans and technical work onto EBME computerised record management system and database.

  • Carry out scheduled basic testing and electrical safety checks on a range of basic medical devices in a timely fashion.

  • Ensure all work is carried out in accordance with the Quality Management Systems procedures and processes.

  • Provide a range of service support to the EBME department to ensure efficient running of the overall device management service.

  1. Communication:
  • Report to the Medical Engineering Team Manager/Specialist technicians the status of medical equipment service within Trust.

  • Communicate with clinical users to gain a clear understanding of the nature of problems/requests with medical devices and assess the urgency of the user request.

  • Ensures effective communication takes place between staff involved in the maintenance of equipment.

  • Liaise with EBME staff and Team Manager in relation to Planned Maintenance of MEL and other medical devices.

  1. Analytical and judgemental:

  • Ensuring all untoward incidents, complaints and grievances are dealt with in accordance with Trust policies.

  • Behave courteously and professionally at all times.

  1. Planning and organisational Skills:
  • Organise equipment library to support clinical users at times of increased demand and when equipment is undergoing repair or maintenance.

  • Liaise with clinical staff to plan preventative maintenance requirements of medical equipment, in conjunction with Medical Engineering Team Manager.

  • Ensure customers receive a high quality prompt and efficient service in line with the requirements of the customers needs and the quality system.

  • Prioritise scheduled workload with demand/repairs and support the rest of the team for planned maintenance and repairs.

  • Ensure all activities are carried out within a quality framework and meet regulatory requirements.

  • Implement Trust Policy for the Management of Medical Equipment.

  • Take action as advised regarding safety notices and device alerts in relation to MEL medical equipment.

  • Conform to the requirement of the quality management system ISO 9001 and support/feedback the continual improvements to the services being provided.

  • Attend suitable seminars and courses as part of personal development and to further the service provision of the department.

  • Liaise with appropriate staff groups (medical, nursing and allied health professionals) in the care of MEL medical devices in line with the Medical Equipment Library Policy and Procedure.

  • On an individual basis, manage and ensure that all of the trusts mandatory courses relating to your post (classroom and e-learning) are attended, hence updated.

  • Take part in appropriate Continuing Professional Development programmes, where applicable. Develop and support own CPD portfolio to support the role.
