Health Records Porter and prepping clerk

Job summary

The role is to provide a timely and accurate Health Record delivery and collection service to all departments/wards/offices throughout the trust on a daily basis. Assisting the team with the processing of paper filing and to consistently output appropriate documents ready for scanning into a patient's WinDIP application record.

Main duties of the job

A high level of accuracy and attention to detail will also be required to help meet departmental service needs across the trust. The post holder will be required to manage heavy workloads due to the nature of the work using motorised tugs and trolleys.

Job description

Job responsibilities

To follow established delivery and collection timetables to ensure that all Health Care files are delivered to the correct locations and collected as required.

To use Master movers/trolleys to safely manoeuvre patient information/files around the trust, ensuring these are locked at all times to maintain patient confidentiality.

To enter secure areas of the trust to collect patient files, maintaining the security of the area whilst entering and exiting the department/ward

To follow established procedures using the computer tracking system for receiving and storing patient folders into the appropriate area of the Health Records Department.

Prepare files for scanning. In-house. Prioritising urgent patient health care files when required ready for scanning into a patients WinDIP application record.

To make considered judgements on the organisation of documents within document sets without escalation.

To escalate unresolved filing queries to the Team Leader/Health Records Manager.

To consistently deliver high quality patient document sets for scanning.

Keep motorised tug and trolleys in a clean and tidy condition and ensure that regular charging and maintenance checks are carried out, reporting any faults when necessary to the Team Leader/Health Records Manager.

To ensure operation of all equipment is correct and adheres to manufacturers recommendations.

To ensure that the appropriate footwear is worn in accordance with Health and Safety regulations.

To actively contribute to the development or enhancement of working procedures.

To ensure tasks have been executed in accordance with established procedures and quality checked during processing.

To exhibit attention to detail and consistency during the execution of daily tasks.

To exhibit good self-organisational skills.

To exhibit a flexible and self-motivated approach to tasks.

To escalate any matters of concern to the Team Leader/Health Records Manager.
