Job summary

An exciting opportunity has arisen for a Level 3 Apprenticeship, working within the Payroll department at the James Paget University Hospital. The Trust is one of the largest employers in the local area.

The successful candidate will work alongside the Payroll team and will be trained to assist with the delivery of the Payroll and Pension service to the employees of the Trust.

As part of the role the successful candidate will be required to complete a Level 3 Apprenticeship in Business and Administration. You will be employed on an 18 month fixed term contract for 37.5 hours per week.

The successful candidate will have a minimum of four GCSE's grade D or above, including Maths and English and 2 'A' Levels grade A-D, or equivalent qualifications.

Main duties of the job

In order to qualify for funding individuals must:

  • be aged 16 or above
  • not be enrolled on another apprenticeship, or another DfE funded FE/HE programme, at the same time as any new apprenticeship they start
  • spend at least 50% of their working hours in England over the duration of the apprenticeship
  • have the right to work in England
  • be a citizen of a country within the European Economic Area (EEA) (including other countries determined within the EEA or those with bilateral agreements), or have the right of abode in the UK, and have been ordinarily resident in the EEA (including other countries determined within the EEA or those with bilateral agreements),
  • 0r a non-EEA citizen with permission from the UK government to live in the UK, (not for educational purposes) and have been ordinarily resident in the UK for at least the previous three years before the start of learning

About us

The post holder will report to the Deputy Payroll and Pensions Manager, being accountable to the Payroll and Pensions Manager. They will work as part of the Payroll and Pensions Team. You will be trained in a wide range of administrative and Payroll tasks to a high standard and provide excellent customer service.

Job responsibilities

  1. To provide an effective administrative and support service to the Payroll and Pension team.
  2. To open, stamp when received, sort and distribute all mail received in the Payroll Department (both Internal and External), to Payroll and Pension Team members.
  3. Answer any enquiries via telephone, email and in person, assisting with any queries from employees/workers.
  4. To sort, redirect, acknowledge and/or answer correspondence appropriately.
  5. To check information received from the Trusts Workforce Departments e.g. Employees Starting, Leaving and changes/updates to employees information and enter/update the appropriate information onto ESR (Electronic Staff Record).
  6. To keep ESR updated, with information received from Workforce, raising any queries with Workforce and other Departments within the Trust as required.
  7. Assist with processing Travel and Expenses claims received from Trust employees.
  8. With support from members of the Payroll and Pensions team, ensure that paperwork submitted to Payroll is assessed for completeness and undertake appropriate action to obtain missing / additional information.
  9. To ensure that documentation is effectively managed and exchanged, maintaining accuracy and confidentiality including confidential financial contract information and personal details of all Trust employees.
  10. To ensure filing systems are maintained and kept up to date.
  11. To assist the Payroll and Pension team with the provision of the service. The post holder will comply with Trust Standing Financial Instructions, all National Terms and Conditions of Employment, all local Trust policies and all the required Statutory Regulations (HMRC, Statutory Sick Pay, Statutory Maternity Pay etc.).
