Secretarial Assistant - Peterborough

Job summary

We are looking for a professional and enthusiastic individual to join the FISS Secretarial Teams, assisting in providing a Typing admin support to our Consultants and clinical team, to deliver a safe and efficient service within the Division.

Main duties of the job

To provide efficient audio typing using EPRO/Scrik and general administration support services within a department

To perform all allocated secretarial and administration tasks required meeting the needs of the service

To work flexibly across specialty teams as and when required, providing administrative support to the consultants and senior medical secretary

Key Responsibilities:

  • Audio typing of correspondence
  • Preparing patient results/correspondence for scanning to Evolve
  • Issuing and sending correspondence
  • Preparation of documents for meetings/clinics

Contact other hospitals/units and GPs as necessary ensuring confidentiality and security procedures are followed

Email urgent referrals to tertiary units

Skills required

The post holder will:-

Have effective communication skills required to interact with staff at all levels

Be competent in the use of MS word/outlook/excel.

Be able to audio type.

Build and maintain constructive relationships and networks of people both inside and outside the Trust.

Confident and approachable in order to provide an excellent service to users

  • RSA II or equivalent typing / word processing qualification
  • Audio typing qualification or equivalent experience

  • NVQ/BTEC Level 2 in Business Administration or Customer Services

Experience

  • Evidenced significant recent secretarial / admin / office experience
  • Recent significant experience of undertaking high volumes of audio typing on a daily basis ensuring both proficiency and accuracy

Desirable

  • Proven experience in communicating with senior Trust staff and colleagues and daily direct interaction with members of the public / patients
  • Recent experience of Trust IT systems - incl MEDWAY, Etrack, Scrik / Epro
  • Experience of working in the NHS

  • Demonstrate evidence of significant experience of customer / patient care relevant to the post
  • Proven understanding of medical terminology
