Job summary

To provide a high quality, patient focused reception duties to the Theatre Department, ensuring that each caller/visitor is greeted courteously and efficiently and directed to the correct recipient. To provide expert clerical assistance to the department as outlined within the scope of duties and responsibilities

Main duties of the job

Referral to Treatment (RTT) and DM01 Diagnostic Waiting Times

*To support with access plan validations and to review access plans and modify where necessary

*Ensure radiology reports are sent to external referrers in a timely manner

*Ensure ALERTS are highlighted to relevant clinical teams within our hospital and in external hospitals

Secretarial

*To type clinical letters from dictated material ensuring that work is completed to Trust standards and timelines

*Keep the radiology RIS system up to date for any new steps in the patient pathway

*At times to outsource dictated material and once complete by the outsourcing company to carefully update this to the patient's electronic record

*To mail out all clinical letters completed ensuring all clinicians involved in the patient's care are copied into the correspondence

Communication

*The ability to exchange information with patients, relatives and staff on a variety of department matters and procedures

*To assist patients in providing non-clinical advice on appointments, waiting times or reporting turnaround times

Knowledge, Training & Experience

*To have a knowledge of secretarial and administrative procedures and systems

*Demonstrate own activities to new employees and share knowledge

*Proposes changes to existing policies and procedures in own area

  • Keyboard skills to RSA Level 2/3 or equivalent
  • English & Maths (grade 4-9)
  • European Computer Driving License (ECDL) or equivalent qualification or experience

Desirable

  • Level 3 or equivalent qualification or experience in Administration or Customer Service

Experience

  • Previous experience of using Microsoft Office Applications
  • Knowledge or secretarial or administrative procedures and systems
  • Previous experience of working in an office environment
  • Previous experience of audio-typing
  • The ability to communicate sensitive information to colleagues, patients and relatives
