Job summary
We are looking for a Ward Administrator to provide a friendly, efficient and confidential reception and administrative service within our Older People's Inpatient Services at The Mount. As the first point of contact for service users, carers, visitors and professionals, you will help ensure the smooth day-to-day running of the service by supporting clinical teams, managing information accurately, and delivering excellent customer service. Please note that this is being advertised as a part-time role for 30 hours per week, and this must include Fridays.
Main duties of the job
- Provide an excellent reception/meet-and-greet service; handle telephone, email and face-to-face enquiries from patients, relatives, the public, GPs and other professionals.
- Take accurate messages and ensure information is passed on promptly and appropriately.
- Provide administrative and clerical support to clinical and medical staff, including basic typing, data input, photocopying, and distributing post.
- Maintain electronic and manual records and support medical records processes; ensure high standards of data quality and accurate information recording.
- Handle confidential and sensitive information in line with Information Governance requirements and NHS confidentiality standards.
- Liaise with colleagues and line manager regarding priorities, urgent requests, system issues and service requirements; attend meetings as required.
- Support ordering and stock control, including using e-procurement systems, checking deliveries and processing returns.
- Arrange transport and interpreters in line with Trust policy when requested by clinical/medical teams.
- Provide flexible cover for colleagues and contribute to maintaining effective office systems and processes.
- Comply with relevant Trust policies (e.g., health and safety, security, moving and handling, infection control) and complete mandatory training and ongoing development.
