Job summary
We have two positions available within our Learning Disabilities service for experienced secretary's / PA's as outlined below:
The first post will be working between the Community Learning Disability Team, the Learning Disability Assessment and Referral Team and Clinical Leads. This post will be extremely varied and challenging at times but is an excellent opportunity for an enthusiastic, well organised, efficient and conscientious person. There will also be an expectation to cover reception when required, this could be as often as once per week, but not always. This post is based solely at St Mary's Hospital, Green Hill Road, Leeds, LS12 3QE.
The second post will be working between the Community Learning Disability Team and the Health Facilitation and Involvement Team. This post will be extremely varied and challenging at times but is an excellent opportunity for an enthusiastic, well organised, efficient and conscientious person. There will also be an expectation to cover reception when required, this could be as often as once per week, but not always. This post is based between two sites within the Learning Disability Service as follows, St Mary's Hospital, Green Hill Road, Leeds, LS12 3QE and Asket Croft, 2 Asket Place, Seacroft, Leeds LS14 1PP. The successful candidate will be required to work between both sites during their working week (days to be agreed on appointment into the post).
The role that is split across SMH and Asket is:
The role will include arranging outpatient clinic appointments, audio typing, arranging meetings and taking minutes, diary management and regular telephone and face to face contact with staff, service users, carers other professionals at different levels internal and external. The candidate must be able to prioritise their own workload and work on their own initiative. They must also possess good problem solving skills, have the ability to work within strict time frames, have an awareness of service user / staff confidentiality and data protection and a high standard of written / verbal and analytical communication skills. An advanced knowledge of Microsoft Office programmes is essential. Knowledge of BigHand translation system is desirable.
Flexibility will be required by the successful applicant with regards to work base and hours, allowing provision of cover for colleagues in different areas when required.
Main duties of the job
The role will include managing the teams Duty Desk, audio typing, arranging meetings and taking minutes, diary management and regular telephone and face to face contact with staff, service users, carers other professionals at different levels internal and external. The candidate must be able to prioritise their own workload and work on their own initiative. They must also possess good problem solving skills, have the ability to work within strict time frames, have an awareness of service user / staff confidentiality and data protection and a high standard of written / verbal and analytical communication skills. An advanced knowledge of Microsoft Office programmes is essential. Knowledge of BigHand translation system is desirable.
This role requires a strong capability in data analysis, with particular emphasis on the proficient use of Microsoft Excel to produce and interpret monthly statistical reports. The post holder will be responsible for analysing referral data and generating regular performance reports to monitor and demonstrate referral activity within the service.
