Job summary
An exciting opportunity has arisen, as we are looking for an enthusiastic candidate to provide line management to a team of secretaries and reception staff. The hours expected to be worked are 9am-5pm, Monday-Friday, with the base to be Aire Court Community Unit.
The successful applicant will need to be highly motivated, positive and able to work under pressure, often managing conflicting demands on their time, as well as meeting tight deadlines. The support service teams in the community are friendly and busy, and, if you are successful, you will be expected to be a key player in the day-to-day running of the service.
Main duties of the job
We need someone with excellent secretarial skills, who is adept at dealing with the challenges thrown up by managing a group of staff, while simultaneously meeting the requirements of the management team. You must be willing to work flexibly within a challenging environment and be able to demonstrate good written and verbal communication, inter-personal, and administration skills.
Responsibilities include the supervision of band 2 and 3 staff, planning shift rotas, minute taking of complex meetings, audio typing, diary management, and the organisation and coordination of meetings. You will have good IT skills, with experience of MS Word, Excel, and PowerPoint, and you will also be expected to provide cover for colleagues at short notice if required. Part of these tasks will involve around the use of BigHand, E-Proc, TRACJobs, Cognos, and HealthRoster
