Job summary
The Administrative Co-ordinator role provides plenty of variety and flexibility and an opportunity to work with and support the Trust's Executives and various teams across the Trust. As part of the Executive Admin team you will work closely with the team of Executive Personal Assistants and other Admin Co-ordinators to ensure a high level of support is provided to the Executives, their deputies and Associate Directors

Main duties of the job
This is a summary of the main tasks, full details can be found in the attached job description.o Provide specialist administrative support to the Executive Personal Assistants (PAs)taking on specific tasks and responsibilities as required to support the Executive Admin team portfolio.o Provide front of house service, meeting and greeting both internal and external visitors.o Communications - manage post; opening, sorting and distributing mail, receive and action general queries by phone or emailo Action often complex instructions from the Executive PAs, Executive Directors and Deputies
o Support the Executive PAs to maintain an up-to-date electronic diary for the Executive Team.o Ensure Executive Directors are prepared for meetings by ensuring that they have all papers and information available.o Maintain filing systems and electronic databases ensuring that all relevant correspondence and documents are available when requiredo Take minutes and action notes for meetings chaired by Executives or those for which the executive team are responsible as required.
o Ordering of supplies using the electronic procurement system.
o Support the recruitment process for Consultant Recruitmento Maintain confidentiality at all times relating to patients, staff and the Trust
