Job summary
We are looking for a motivated Administrator to join our team for 19 hours per week
This role supports the delivery of high-quality care for children and young people by providing vital administrative support within Community Childrens Services. As a key member of the paediatric admin team, you will ensure that patient records are accurately maintained, appointments are managed efficiently, and families receive clear, timely communication.
Success in this role requires excellent organisational skills, attention to detail, strong IT literacy, and a compassionate, family-friendly approach. Main duties of the job
- Maintain accurate electronic health records using systems such as SystmOne and Meditech in line with Trust procedures.
- Register and de-register patients, manage transfers, book appointments, and update clinic schedules.
- Scan correspondence and manage incoming/outgoing mail and emails.
- Undertake routine typing, data entry, and the collation/distribution of reports.
- Patient and Family Liaison
- Handle telephone and public enquiries with sensitivity and professionalism, ensuring families are signposted to the right services.
- Communicate appointment details to families via letters and calls, including rebooking and short-notice changes.
- Arrange interpreters when required, following Trust protocols.
- Information Management
- Use IT systems (e.g., SystmOne, Meditech, Talking Point) to input, retrieve, and update patient information.
- Ensure data protection and patient confidentiality are maintained at all times.
- Team and Service Support
- Provide absence cover for admin colleagues to maintain service continuity.
- Attend and contribute to team meetings.
