The Admin Team Leader for the Child Health Information Department (CHID) is responsible for leading and managing the administration and clerical functions within the Children & Young Peoples Services. Based at the Rotherham NHS Foundation Trust, the post holder ensures the delivery of a high-quality, efficient service by supervising a team of clerical and higher clerical officers.
The role requires effective workforce planning, performance monitoring, and fostering strong working relationships with clinical teams and service users.
Main duties of the job
- Oversee daily operations of CHID administration, including immunisation/vaccination coordination and statutory child health assessments.
- Line manage Band 2 and Band 3 admin staff, including recruitment, training, performance reviews (PDRs), sickness monitoring, and staff development.
- Ensure the service meets KPI targets and statutory deadlines by monitoring performance and ensuring adequate workforce cover.
- Lead team meetings, attend relevant service meetings, and liaise with internal and external stakeholders.
- Manage departmental budgets for goods and services.
- Supervise data management through EPR systems (e.g., SystmOne, Meditech), ensuring accurate data entry and monitoring.
- Respond to patient and client queries, including handling complaints with sensitivity and professionalism.
- Ensure compliance with health and safety regulations, Trust policies, and Information Governance (e.g., Data Protection, Caldicott principles).
- Contribute to continuous improvement of departmental processes, service quality, and policy compliance.
- Handle emotionally sensitive issues and maintain confidentiality at all times.
