An exciting opportunity has arisen for a permanent Reception/Administrative support post within the Clinical Genetics Department.

We are looking for an enthusiastic and contentious team player, who can work well under pressure and have the ability to prioritise their own workload

Main duties of the job

In Addition to the to the below summary you will need to familiarise yourself with the full Job Description and Person Specification documents attached to this advert.

To Support the Clinical Genetics Team and provide Reception and Administrative cover.

You will have excellent communication skills and have the ability to use your own initiative to respond to queries in a timely and professional manner.

You will be able to demonstrate a clear understanding of confidentiality and maintain the standards of our Team NUH values.

Job responsibilities

Key Job Responsibilities

  • Greet patients at reception, check their personal details are correct, and if necessary amend in Nervecentre and Shire accordingly, ensuring patient confidentiality.
  • Use Nervecentre/Shire/ERS to manage new referrals received via Post, email or ERS and process for triage.
  • Ensure patient medical records are created and filed appropriately ready for the outpatient administrators to process.
  • Print clinic lists from Nervecentre/Shire in advance of clinic date.
  • Deal appropriately with enquiries from staff and the general public, seeking advice or referring elsewhere if necessary.
  • Request medical records from other areas in preparation for clinics.
  • Keep personally updated and be able to advise patients in relation to peripheral services available, i.e. transport, interpreting services etc.
  • Notify Outpatient Co-ordinator or designated person of any patients who fail to attend their appointment who will take necessary action in line with departmental and/or Trust policies.
  • Receive and respond to enquiries from relatives/external agencies always adhering to Trust confidentiality guidelines.
  • Be able to competently use Nervecentre and other information technology systems and participate in training programmes to develop and update personal skills to meet the needs of the department.
  • Maintain tidy, safe working environment, reporting any hazards or faults timely and appropriately.
  • Present a professional, polite and courteous attitude at all times and be appropriately dressed when on duty.
