Job summary
Working as part of a team, the post holder will support the provision of a comprehensive administrative service for the Estates and Facilities Directorate's Car Parking Department, on behalf of the wider NUH, and in pursuit of effective operational and business objectives.
The office provides the day-to-day management and running of the Trust's car parking infrastructure & management and staff car parking permit systems. The post holder will operate these computerised systems, and will provide direct support to the Car Parking Management Team in support of the Directorate's and Trust's needs.
The post holder will act as the first point of contact for the Trust to staff, visitors and service users on all routine car parking matters, including staff car parking permits and parking enforcement administration, and shall escalate issues when necessary (i.e. line management, PALS etc.). The post holder will also be responsible for the monitoring of service equipment, its performance and shall assist external contractors with infrastructure & equipment repairs and/or other remedial works. The post holder should have a good general standard of education, and a customer-focused attitude.
The post holder will be required to be able to work across any of the two NUH sites (City and QMC) and at any time when instructed.
Main duties of the job
To manage the Trust's computerised car parking infrastructure and staff car parking permit control systems in line with Trust policies and operational requirements.
Be an active part of the team that manages the NUH's car parking assets and to be at the fore with reporting issues where operational and/or business objectives are at risk of falling short being, or may not be, achieved.
To support the Car Parking Administration Co-Ordinators with liaising with NUH Finance stakeholder teams to ensure that staff car parking permits are paid in a reasonable time, and to provide supporting information to all stakeholders as necessary.
To escalate concerns as appropriate to the Security Management Team and Department / Divisional Authorised Persons.
Act as the primary contact for NUH Departments for the management and provision of discounted and free parking for service users and visitors who meet the criteria as outlined in NUH policies.
Attend meetings, some of which may be off primary site. Arrange dates, venues, take and transcribe minutes and distribute together with agendas and papers.
Provide cover as necessary for other administrative staff within the Department as appropriate.
Answer the telephone in a polite & courteous manner, dealing with enquiries and taking messages as appropriate, and ensuring confidentiality is maintained at all times.
