An exciting opportunity has arisen within the Diabetes service at NUH for an experienced Band 4 Administrator. This role is within the Diabetes service at NUH supporting primarily the implementation of diabetes technology, hybrid close looping, within paediatric and adult diabetes services and across QMC campus and Dundee House.

We are looking for a highly motivated and dynamic individual who is committed to further improving their administrative skills and providing a high quality service. The successful candidate will have strong knowledge and experience of administrative and secretarial processes and be able to work within a team as well as take initiative and work independently.

You will be working alongside a multi- disciplinary team of clinicians as well as community partners and will be expected to provide high standards of service for patients, building positive partnerships with external suppliers whilst working within a supportive and motivated department.

You will be required to have excellent written and verbal communication skills and the ability to use microsoft office programmes, excel spreadsheets and databases and manage and organise your work schedule to deliver an effective service.

Main duties of the job

To liaise with clinicians, GPs, medical companies, external partners and patients to ensure a smooth pathway for the provision of diabetes medical devices.

Maintain databases to monitor patient consumables usage and provide this information for the nursing and management team

Preparing letters and uploading documents to NOTIS/ Webhiss, sending e-Post letters to GP's when required

Identify patients requiring a review of their technology, highlighting to clinicians and ordering devices from the medical companies for insulin pump and sensor start-ups.

Independently coordinate the completion of invoicing in liaison with the SGM and to monitor the values on contracts to ensure that they are renewed in a timely manner with the medical companies to maintain an efficient service for patients.

Maintain lines of communication with the medical companies in relation to any queries.

Deal with queries from patients in relation to the administrative processes in relation to technology, providing appropriate information and also signposting or liaising with clinicians as needed

Training

Essential

  • Educated to A Level/NVQ 3 or equivalent qualification
  • A good standard of general education
  • Evidence of ongoing personal development

Knowledge

Essential

  • Intermediate IT skills, regular user of Microsoft Office packages, and experience of using online communication platforms such as MS Teams/Zoom & be IT literate & experience in processing, recording, storing & retrieving data using computerised & manual systems
  • Experience of networking & communicating at different levels within a large organisation
  • Proven secretarial & administrative experience including agendas, letters & layouts & minutes taking to intermediate level

Desirable

  • Experience of working in a healthcare environment
  • Knowledge of medical education issues, foundation programmes & Health Education England

Skills

Essential

  • Excellent communication skills and command of written and spoken English.
  • Discretion in communication of sensitive and confidential information
  • Organisational skills to a high level to facilitate the planning and co-ordination of annual deanery matching scheme/Foundation Programme and subsequent teaching programmes

  • Worked on similar schemes in the past which require strong time management skills to be able to work to deadlines and targets
