Job summary

We have an exciting opportunity to join a friendly and supportive administrative team as a Patient Pathway Administrator (PPA) to support our Spinal Surgery Department at Nottingham University Hospitals NHS Trust.

The PPA is a significant roleand a key member of our administrative team supporting multidisciplinary clinicians and in service of our patients.The main purpose of the role is todeliver high-quality, timely and efficient administrative services to our surgery serviceto allow our patients to move smoothly along their hospital pathways forbest possible and timely care.

Main duties of the job

As a key member of the Administration Team, the post holder will deliver high-quality and timely administrative services that include typing clinical letters, making & receiving calls from patients on our pathway and supporting the Specialty PAs and Waiting List Co-Ordinators with the care and management of our patients.

The post holder will play a key role within the service and will work in close liaison with NHS colleagues, patients and the general public. Experience of medical terminology is an advantage and some form of typing experience is desirable.

It is preferable but not essential that the successful candidate will have had previous NHS experience, ideally in a similar role; some business & administration education or equivalent experience; and experience of using clinical IT systems (such as Notis or Medway PAS). Some competence in Microsoft Office software including MS Word, Excel and Outlook are essential. We use Microsoft Teams extensively as our online collaboration and communications tool.

The post-holder will deliver administrative services that include typing letters to patients to confirm appointments or to communicate outcomes to patients and GPs, based on audio dictation from clinicians; ensure accurate entry of data and minimise breaches against targets; work flexibly and step-in where needed in administration to allow the service to continue to grow and improve; support each other and work as One Team.

Key Responsibilities:

Accurately transcribe, from Winscribe digital dictation, outpatient clinic letters and miscellaneous clinical correspondence to a high standard within specified timescales.

Liaise with clinical staff and other administrators to ensure patients are seen on their pathway without delay.

Provide a courteous, sensitive and sympathetic customer-service experience when on the telephone to our patients.

Use judgement and initiative to prioritise the importance and urgency of particular requests within defined guidelines.

Exchange sensitive or contentious information with diplomacy and in a confidential manner.

Ensure patient pathway data quality is accurate to ensure we can measure and report on our progress, risks and successes.

Adopt a flexible attitude to meet the needs of the surgery service, taking into consideration the diverse needs of other individuals.

Promote an open, friendly, inclusive working environment.
