Job summary

The post holder will manage and operate the Department's CAFM System along with various commercial and custom applications covering all sites operated by Nottingham University Hospital.

The role is a supporting one for both management and workforce. It includes managing and updating engineering information/records and developing/analysing management information and reports.

Be dynamic in their approach, flexible and adaptable to changing needs and priorities. Work proactively and support both management and frontline estates staff in delivering an effective service.

Manage, control and update CAFM, Estates handover records & drawings, Estates critical spares records. Monitor and report on work and maintenance progress and cost impactions. Maintain, report and present work progress reports to Estates Management staff.

The post holder must take full ownership of their duties and tasks and use their initiative to manage their time accordingly in order to achieve outputs of the role.

The role directly supports Engineers & Construction professionals in the delivery of a highly effective efficient Estate. A constant stream of Projects is being undertaken and staff will need to liaise with Architects, Consultants, representatives, contractors and staff.You will be required to communicate at all levels with all departments as well as manage, retain and update the ordering and purchasing system.

The Trust incorporates many building types & engineering systems therefore, the efficient tracking and processing of work is a crucial role. From the outset the post-holder shall understand how their personal contributions in the role affects Estates services and supports Trust activities/patient care.A demonstrable track record of success in service support, financial tracking and procurement and a good understanding of Estates service delivery is required. The candidate will seek to provide a proactive service; plan work and schedule tasks appropriately.

Be the CAFM systems super user and provide advice where required. Manage the Estates Department master asset registers on the CAFM system. Ensure the asset registers are kept up to date and accurate to enable the successful delivery of planned maintenance activities. Add, amend and delete assets at the request of the engineering and building officers/managers.

Manage the programme of planned maintenance tasks within the CAFM system to ensure alignment with operational and clinical activities in conjunction with estates colleagues and the wider Trust departments.

Align and manage the SFG20 compliance methodologies software to the appropriate task with the CAFM system to enable the tasks to be completed safely and at the correct frequency. Complete and administer software updates as required to both systems.

Provide reports and analysis of trends within the data produced to further enhance the performance of the department. To be able to identify and balance the staff work load to the available resources in conjunction with the building and engineering staff. Notify Operational Managers of trends that may require investigation.

Regularly reviews and aligns information from several sources, Datix, audits, six facet survey, Vision and third party databases etc. to fulfil a combined and targeted use of estates resource through the CAFM system to provide a compliant service. Update all data systems, audits etc. for assurance.

Liaise with external contractors to combine outsourced services to ensure that are aligned to the programmed CAFM frequencies for planned and reactive tasks, update the CAFM system with the completed tasks carried out by contractors, amending any assets that may have changed.

Administer the contractor Reset system to ensure compliance with training, method statements and risks are identified prior to the contractor starting work at the Trust. Provide reports as necessary.
