Job summary

An exciting opportunity has arisen for an enthusiastic individual to join the Eroster team at the Walton Centre NHS Foundation Trust.

The post holder will be responsible for providing a high-quality administrative function; duties will include regular and ad hoc system maintenance, system configuration, supporting staff in using the system effectively and basic reporting tasks. You may also be asked to support the wider team with admin duties e.g. updating meeting documents and taking minutes. There will also be opportunities to get involved in supporting various aspects of project work.

The post holder will be expected to be able to manage their own workload, prioritising tasks as appropriate and seeking support when needed. It is essential that the post holder exercises initiative commensurate with the role and vital that they are able to maintain confidentiality at all times.

The successful candidate will be confident using electronic systems and in understanding analytical data; they should also demonstrate excellent communication skills and have a good working knowledge of Microsoft Office packages, particularly Excel.

This position is offered on a full-time basis (37.5 hours per week) at Band 4. The post is a hybrid role with the expectation part of the working week will be on site at The Walton Centre NHS Foundation Trust. Please ask the recruiting manager if you have any questions regarding this.

Main duties of the job

Support the day to day maintenance, operational support and administration of the Trust e-rostering system including; HealthRoster, Employee Online (EOL), SafeCare and NHSP interface

Provide support, guidance and low level training for staff on the use of HealthRoster, EOL, SafeCare and NHSP interface (within own subject area).

Monitor and respond to e-roster queries in a thorough and timely manner.

Provide proactive and visible support to all users of the e-rostering system (and accompanying applications); responding to queries and working with users to problem solve and rectify issues where able or escalating to senior team members as necessary.

Generate and maintain user accounts and passwords as required.

To accurately process new starters, change of circumstances and leavers using the Gateway.

Update individuals working patterns and restrictions following receipt of Flexible Working Agreements.

Maintain and update skills and competencies within e-roster as directed by the E-roster Lead or ward/department leads.

Support the development of demand templates and lay these down according to the roster schedule for future roster periods.

Supporting the E-roster Manager with the preparation and finalisation of the payroll uploading process to ESR (Electronic Staff Records); including checking that all necessary rosters have been finalised, chasing up any outstanding areas and supporting any required adjustments.

Take an active part in the continued roll out of the system including supporting the

administrative processing in the data gathering exercises, building of new units and the implementation of safe staffing.

To extract various reports from the system to support monthly KPIs and ad hoc requests.

Contribute to the on-going maintenance of the e-rostering system within the Trust, including data integrity and data quality assurance.

Contribute to the on-going review and improvement of e-rostering operational processes.

Identify any areas of concern or non-compliance, providing supporting evidence where applicable, and escalate concerns to E-rostering Lead.

Work with the Eroster Lead to ensure all potential data quality issues within the e-rostering system are regularly reviewed and corrected.

Record and document any errors, faults or performance issues and escalate concerns to the E-roster Lead.

Ensure all e-roster documentation is kept up to date and communicated effectively as required e.g. updating guidance documents as directed, updating internet links and putting up posters.

Provide admin and clerical support to the Workforce Service Improvement Lead, including arranging meetings, circulation of agendas and papers, minute taking etc.
