Job summary

The post holder is responsible for the management of requests for the release of information ensuring the Data Protection Act and the ICO Code of Practice for Subject Access Requests are applied to.

To maintain effective working relationships with consultants, nursing staff, Safeguarding Team, Legal Services, Health Records Department and Trust managers to ensure the smooth processing of release requests.

Main duties of the job

Act as the first point of contact for information release enquiries

Be conversant with the Data Protection Act, ICO Code of Practice, and the General Data Protection Regulations

- Identify and remove information that has been misfiled

- Consider harm occurring because of the release of information.

- Review information about other individuals that are contained within those records, to remain in or whether it needs to be removed/redacted

- Extract information from Trust clinical systems

- Assess requests to confirm they are legally valid

- Ensure consent is lawful

- Individuals requesting information on a deceased relative are the legal personal representative

- Downloading and photocopying of notes and stored securely for the minimum time possible

  • Experience in a work environment managing personal and sensitive records on a day to day basis.
  • Experience using specialist redaction software.
  • Experience using computer systems and request management systems.

Qualifications

  • Years experienceHigher National Certificate or Higher National Diploma or NVQ Level 4 or Foundation degree Or A combination of qualifications, experience and knowledge which, when combined, equate to the above qualifications

Knowledge & Skills

Essential

  • Detailed knowledge of Information Governance and Confidentiality.
  • Detailed and in-depth knowledge of: - 1) The Data Protection Act 2018, 2) ICO Subject Access Code of Practice, 3) The General Data Protection Regulations sufficient to be able to interpret and apply the principles on a day to day basis.
  • Sufficient skills to communicate effectively with patients, carers, relatives, parents, solicitors, coroners, benefits agency staff and court officials.
