Job summary
The post is for a 12-month fixed term contract at the Hewitt Fertility Centre Knutsford site. The post holder is responsible for providing an efficient clerical support service to the organisation supporting the clinical team, Fertility Screening Clinic, (FSC) and, One Stop Infertility (OSI) clinics, Hewitt Centre Patient Information.
To help provide an efficient administrative service for the Knutsford Clinic, the post holder will prepare case notes for FSC clinics and IVF clinics, for both NHS and Self-Funding patients. Help prepare Hewitt Centre Patient Information, with particular attention to data entry and maintenance and filing of patient case notes. To make NHS and Private patient appointments, register patients on the required computer systems, issue invoices, take payments and carry out other administrative tasks as necessary.
Main duties of the job
To deal with all patient queries and concerns.
To answer telephone queries and concerns - (these may be of a sensitive nature)
To register new patients and make new patient appointments both NHS and Private, using logging procedures on Meditech and Choose and Book as required, sending out relevant patient letters.
To make follow up appointments as required. To liaise with consultants/nurses with regards to patient queries.
To issue patient information leaflets as required.
To assist with general administrative duties e.g. dealing with mail, photocopying and filing.
To provide an efficient admin service for the registration and treatment of satellite patients.
To invoice private patients for consultation, screening, treatment, and drug top ups, taking payment in person or by telephone, via cash, debit/credit card, bank transfer and recording all payments on IDEAS. o comply with all departmental standard operating procedures as appropriate.
To provide absence cover within the admin team, including reception duties as required.
To identify and raise any issues to the Admin Team Leader.
