Job summary

The Division of Theatres and Critical Care are seeking to appoint a motivated individual to the role of Theatre Receptionist/Clerical Support within Theatres.

Reporting to the Theatre Matron, the post holder will provide a high quality administrative and confidential clerical service to the Operating Theatres at Sunderland Royal Hospital. We are looking for an enthusiastic, committed person who can work both as an individual and also as part of a team with a flexible approach to duties. The successful candidate will be of a pleasant disposition, have excellent interpersonal skills and a friendly telephone manner. The ideal candidate will have a good understanding of IT and experience of using Microsoft Office software packages. Knowledge of the hospital systems is desirable, though full training will be given.

Working Hours:

The post holder will be required to work 37.5 hours per week, Monday to Friday, typically between 8:00 and 16:00. However, flexibility is essential, and the successful candidate must be willing to adjust working hours occasionally to meet the operational demands of the service.

Main duties of the job

  • Provide full-time coverage of the theatre reception desk, including professionally greeting and directing staff, patients, and visitors.
  • Handle incoming telephone calls, respond to queries appropriately, or redirect to the relevant personnel as needed.
  • Monitor and manage access to the operating department, ensuring only authorised personnel are admitted.
  • Maintain the cleanliness and organisation of the reception area.
  • Maintain accurate records and ensure the secure disposal of confidential waste in accordance with data protection guidelines.
  • Update and manage staff contact details, including those related to major incident protocols.
  • Log and monitor maintenance requests via the Estates Helpdesk, ensuring follow-up and resolution.
  • Monitor stationery supplies and place orders through the Materials Management Inventory system to ensure consistent stock levels.
  • Accurately input data into relevant information systems in a timely manner.
  • Ensure theatre documentation and checklists are consistently maintained, updated, and readily available for staff.
  • Provide general administrative support to Theatre Speciality Managers and Theatre Matrons, as required
