Job summary
We have an apprenticeship opportunity to work in Community and join an innovative service delivering high quality interventions in the community to people with a range of mental health problems? If the answer is yes, and you meet the essential criteria, then please apply for this post. We are looking for a positive-minded, trustworthy, hardworking, and enthusiastic Apprentice Administration Assistant with a flexible approach to provide administrative support to the clinical team, ensuring a first-class service is delivered to our service users.
The duration of the apprenticeship is 18 months subject to regular reviews to demonstrate progress and following successful completion will move into a substantive position. Apprentices will commence on Annex 21 of the salary stated and to support development in the role the postholder is required to complete a L2 Customer Service Practitioner Standard over the period of the apprenticeship. Maths and English is required at GCSE minimum grade C/4 or Level 2
Working hours of the post:32 hours per week.
Monday 9am 4:30pm or 8:30am 4pm, Tuesday to Friday 9am 3:45pm or 8:30am 3:15pm (Working hours are however negotiable)
Working Base: Cleadon Park Primary Care Centre, Acacia Grove, South Shields NE34 8PS
Please note the post holder will be required to travel to other sites to cover shortfalls within the division should the need occur
Main duties of the job
The service receives referrals from a range of sources including external agencies such as GPs, internal colleagues within the trust, and self-referrals from clients wishing to access the service. Key Tasks within role:
To provide clerical and administrative support to the provision, primarily group facilitators provide an efficient and effective service.
To support group facilitators schedule on-site and digital sessions.
To be the first point of contact to the service at reception and over the telephone.
Booking of appointments, cancelling of appointments.
Diary Management
Care pathway management for service users
Input and maintain information in the electronic clinical systems.
Produce letters, forms and reports for the team, using Microsoft office packages.
Carry out photocopying, scanning and uploading of documents onto a client database.
Process incoming and outgoing mail.
Maintain accurate filing systems.
Assist in the maintenance of stationery stock.
The post holder should be organised, empathetic, and adaptable to change.
The post holder may occasionally be exposed to upsetting and distressing calls, therefore an element of resilience is needed, however full training is provided internally.
