Executive Administration Support Officer

Job summary

We're looking for a highly organised and proactive Executive Administration Support Officer to provide confidential, high-level support to the Deputy Chief Digital Officer and the Digital Leadership Team across the Dorset Provider Collaborative.

In this varied role, you'll manage complex diaries and correspondence, coordinate key meetings, prepare high-quality papers and briefings, and support digital transformation programmes. You'll help maintain smooth and efficient administrative systems, assist with project work, and act as a key point of contact for staff and stakeholders across all three Trusts.

This role is ideal for someone who thrives in a fast-paced environment, communicates confidently at all levels, and can balance shifting priorities while maintaining professionalism and accuracy.

This is a fixed term role and for those with current NHS service, the role will be offered on a secondment basis only. Please obtain permission to be released on a secondment before submitting an application.

Main duties of the job

  • Manage complex, high-volume diary arrangements for the Deputy Chief Digital Officer (DCDO).
  • Prepare reports, meeting papers, presentations, and briefing packs.
  • Act as gatekeeper, screening communications and prioritising tasks for the DCDO.
  • Manage emails, deadlines, tasks and follow-up actions on behalf of the DCDO.Support governance meetings including boards, steering groups and programme meetings.
  • Maintain oversight of risks, issues and dependencies within the DCDO's portfolio.
  • Handle confidential and sensitive information with discretion.

  • Relevant degree or equivalent level of training and experience, or relevant diploma or equivalent level of vocational training and practical management experience and knowledge;
  • Significant experience and competence in the Microsoft Office suite particularly Outlook, Word and Excel;
  • Information Technology Infrastructure Library (ITIL) qualification or willingness to obtain;
  • Good knowledge of Digital services and processes that support service delivery;
  • Excellent problem resolution and fault investigation skills;
  • Experience of dealing with confidential information
