Job summary
Within the Blandford Community Mental Health Team we are looking to recruit an Administrative Team Leader and PA for the Service Lead to manage and coordinate the administrative team and medical secretaries. We are looking for an organised, motivated, consistent and enthusiastic individual with excellent administrative skills to join our existing team.
You will need to multi-task and work flexibly to help manage the workload of a busy Community Mental Health Team with a good working knowledge of Microsoft Office programmes including Outlook, Word, Excel, Winscribe and relevant NHS systems (Rio, Dorset Care Records, CLUES etc).
You will be highly organised, motivated and able to work to deadlines in a busy office environment as part of a larger team and able to take and transcribe formal meetings and distribute minutes in a timely fashion.
You will need to have an excellent telephone manner, as you will often be the first point of contact for this busy team and will need to be able to work under pressure. You will have strong communication skills and good attention to detail with the ability to cope with complex tasks whilst ensuring databases are kept up to date.

Main duties of the job
You will provide efficient secretarial, administrative, and reception support, as well as leadership for the administrative team, liaising with patients, the public, and professionals across primary and secondary care. Some patients may contact us in distress, so resilience, compassion, and a patient-centred ethos are essential.
This role is split between four days as Administrative Lead, overseeing adult and older adult administrative teams, managing business and performance functions, and ensuring smooth operational delivery, and one day providing high-level PA support to the Integrated Service Manager. PA duties include diary management, meeting coordination, minute-taking, handling confidential correspondence, and supporting governance and project tasks.

This is an ideal opportunity for someone with excellent communication skills, proven administrative experience, and a willingness to learn, contributing to a growing service as we move toward new ways of working. This full-time role is within regular office hours (09:00-17:00).
Employment requires an Enhanced DBS check, covered by the Trust. Applicants enrolled in the DBS update service may present a valid certificate instead of requiring a new check.
