Job summary

This is an excellent opportunity for an experienced Administrator/Supervisor to join a friendly and proficient administration team, supporting clinicians who deliver the Physiotherapy Service.

We are looking for someone with good IT skills, strong time management, great interpersonal & communication skills.

We are looking recruit a Supervisor to work either 28 or 30hrs per week and manage a team of 14 administrators based across Dorset.

This role is very varied and we'd like to find someone with good humour who enjoys the challenge of a busy working environment. This role will require travel to a number of sites in order to meet with the Team and will be a hybrid of working in the office and at home.

Daily tasks will involve communicating with both Admin and Clinicians, signposting, using excel, capturing data, managing emails and assisting with general admin.

Hours are either 28 or 30 hours over a 4 day week, with 2 days at 8.30am - 5pm and 2 days at 8am - 2pm/3pm

Main duties of the job

Manage 14 admin staff ensuring that all their training and Personal Development plans are up to date. Understand how the Physiotherapy Service works and be available for the Clinical Staff where needed.

Work with the other Clinic Support Supervisors gaining an up to date knowledge of office systems, procedures and all service requirements, deputising during sickness and leave.

Resolve queries and complaints where needed and identifying any improvements. Understand and manage the referral system as well developing a thorough understanding of the other systems used.

Collate key performance indicator data and present findings to Manager

Essential

  • NVQ 3 in Customer Service or equivalent.
  • 5 GCSEs Grade A-C including English and Maths or equivalent

Desirable

  • ECDL, NHS Elite or equivalent I.T Qualification

Information Technology

Essential

  • Able to use computer software programmes to develop or create statistical reports.
  • Basic IT skills, normally obtained through practice or practical training, for example RiO/SystmOne

Desirable

  • Skills and experience in database management.
