The post holder will be a member of a professional team that provides comprehensive, high quality impatient and day case waiting list management services for the Trust.
The post holder will ensure that patients are treated within the maximum waiting time permitted and that the service is delivered in a professional, courteous and efficient manner.
This post is designed for someone with good organisational skills, a retentive memory and an ability to work on ones own. The maturity and ability to work with senior staff and assertive patients is essential.

The post holder should possess a high level of maturity and be able to work as part of a team.
Please note the vacancy is for 22.5 hours per week, 4.5 hours per day with a possibility of increasing this to 6 hours per day over a 5 day week. This Vacancy is based at Wexham Park Hospital.

Job description
Job responsibilities
- Adding / removing / dating patients on the Patient Management System and ensuring that patients are booked in accordance with the Trust Access Policy.
- Ensuring all records and referrals, both automated and manual are promptly and accurately filed and maintained.
- Communicating with patients efficiently and courteously to arrange, modify or cancel appointments. Generating patient admission letters from the computer system and updating records according.
- To adhere to the Trust Access Policy when patients do not keep appointments, or wish to delay appointments or treatment.
- To arrange pre-operative clerking appointments and to ensure all relevant information from the waiting list card is communicated.
- To ensure that the pre-admission assessment clinic is fully utilised and to co-ordinate and liaise with the relevant staff.
- To ensure patients medical notes are requested and obtained in time for pre-operative appointment and/or admission.
- To ensure that all PAS transactions are completed in accordance with the Trust Access Policy e.g. refusals/cancellations etc.
- Conduct regular reviews of suspended patients and action appropriately.
- Regular review of daily PTLs ensuring that patients are treated in accordance with Trust policy on waiting times.
- To ensure that the TCI lists are printed and distributing weekly.
- To input patient data into IQ Utopia, ensuring that all patients are entered in a timely manner.
- To conduct daily checks to ensure that all patients have had their planned procedure. To inform appropriate personnel of any patients who have been cancelled on day, ensuring correct COD code has been used. Ensure patients are re-admitted in accordance with the COD Policy.
- To deal in a courteous and discreet way with telephone callers and visitors to the waiting list office.
- To attend waiting list meetings and updating sessions.
- To ensure that office equipment is maintained in good working order and that the waiting list office is kept clean and tidy.
- To deal efficiently with all post on a daily basis.
- To cover colleagues work during holiday and other absence.
- To be responsible for the co-ordination of extra work required to be undertaken for any waiting list initiatives.
