Job summary

Sussex Community NHS Foundation Trust is the lead provider of Children and Young People's Community Nursing Services (CYPCNS) across West Sussex.

The CYPCNS is made up of four teams in Crawley, Lancing, Chichester and Brighton and Hove, along with a Specialist Children's Continence team, and a Special School Nursing team. Professional, operational and strategic leadership is provided through the Head of Children and Young People's Community Nursing, with additional leadership for quality and standards provided through the Children and Young People's Community Nursing Matrons.

Currently the Children and Young People's Community Nursing Service (CYPCNS) service provides community nursing for children and young people with acute and long term conditions, complex needs, and palliative care, including end of life care. The children and young people can present with acute illness in addition to requiring skilled nursing intervention to manage highly complex health and developmental needs throughout childhood and at transition to adult services.

Main duties of the job

We are currently looking to recruit a dynamic, forward thinking Administrator to support the clinical staff with administrative duties for our Chichester Team.

The provision of comprehensive administrative and clerical support to the Children and Young People's Community Nursing Team.

To independently manage an office administration system which enables the team to work effectively to support the operational issues of the Children and Young People's Community Nursing Team and overarching elements of the Children's Community Nursing Service.

Liaising with clinical services and other departments, both internal and external, observing strict confidentiality and maintaining accurate records.

Job responsibilities

Deal with all telephone enquiries effectively, ensuring a prompt, accurate and polite response. Acting on own initiative when necessary and appropriate.

Ensure good Diary management for Children and Young Peoples Community Nursing team.

Record and maintain accurate database of children and families in the Children and Young Peoples Community Nursing Team, ensuring confidentiality is maintained to SCFT standards.

Organise and prioritise own workload resolving conflicting diary appointments and schedules.

Arrange service meetings on a regular basis, including booking rooms.

Organise agendas, take minutes and collate all relevant papers relating to meetings and/or appointments.

Support Team Lead in maintaining up to date staff information within Business Continuity Plan and personal staff records

Open mail, sort and re-direct as necessary.

Book patient transport as required

Undertake photocopying, scanning and distribution of documents as required

Support Team Lead in maintaining staff rota on Health Roster and SystmOne
