Job summary

Seeking a Data and Project Support Administrator with excellent attention to detail and organisation to join the NHS West Sussex Talking Therapies. They would be passionate about collaborative working to support the administrative functions that strive for ever-improving high-quality patient care!.

Main duties of the job

The main priority of this position is to work as part of the central administrative team, working alongside a Data Analyst, a Senior Data Analyst, Patient Pathway Trackers and a Personal Assistant to the General Manager, Project Manager and Chief Psychologist. The post holder would primarily provide administrative support to the Data Analysts, supporting functions around data validation, system upkeep and waiting list management, occasionally supporting in an administrative capacity with central projects to NHS West Sussex Talking Therapies. This may mean posting letters, answering calls and booking appointments. The post holder would be expected to respond to queries in a timely manner and accurately record data or patient information onto the IAPTus database.

Good communication skills are essential to deal with a wide variety of queries and needs. The post holder must be able to document clear and accurate records that reflect information provided and maintain an effective level of organisation. This is a busy office working environment with and it is therefore essential to possess the ability to prioritise and multi-task the competing demands of patients and colleagues alike.

Job responsibilities

Key Responsibilities

Support the data analysts in performing data quality checks and processing referrals adding patient experience questionnaires, setting up accounts and monitoring token usage

Support with the production and circulation of lists of patients to be discussed, this includes liaising with clinical and administrative staff

Supporting project work in line with NHS West Sussex Talking Therapies workstreams as requested

Ensuring post, telephone calls and emails are responded to in a timely manner and making outgoing calls to facilitate the booking of patient appointments in accordance with the correct procedures should this be needed

Monitor in-box for patient e-mail traffic, clinical requests and updating records on staff sickness and/or annual leave

To manage and maintain systems using a range of IT software.

Ensure the patient database (IAPTUS) is up to date with the latest patient information

Manage patient pathways in accordance with local and Trust SOPs, supporting clinical and operational leads in providing the information needed to make decisions on treatment timeframes, discharge and relaying other information as required / requested

To ensure the service ethos of patient first, provision of excellent seamless patient care and care of staff is evident at every contact.

Main Tasks

Responding to routine matters related to patient and clinical demands. Organises own workload to meet priority needs and reduce risks to service quality

Independent working, using own initiative with minimal supervision, understanding of the flow of work/priorities through the service

Regularly attend training, meetings and supervision

Providing support to the data team and provide cross cover to the PA and Project Support Administrator for NHS West Sussex Talking Therapies

Participate in meetings and other external events preparing necessary documentation and equipment as required

Monitoring and producing printed documentation to send to patients and groups, ensuring sufficient copies held, and addressing/advising of any errors/inconsistencies

Monitor stationery supplies and order as necessary

Ensure absolute confidentiality of all sensitive information relating to patient care, staff and service issues

Other duties commensurate with grade and requirements of service
