Job summary

An exciting opportunity has arisen for an Executive Assistant/ Directorate Business Support Manager to join Public Health Wales working within the Operations and Finance Directorate.

The role of Executive Assistant to Deputy Chief Executive/ Directorate Business Support Manager is a key role within the national public health organisation and provides an opportunity for the individual to be a part of an essential area of Public Health Wales. The purpose of the job is to provide excellent and comprehensive executive and administrative support to the Deputy Chief Executive and Deputy Director of Operations and Finance and provide business support to the Governance and Business Manager of Operations and Finance This role includes , providing operational and business management support to the five divisions of the Operations and Finance Directorate. The post holder will assist in the coordination, development and implementation of key business administrative processes and tasks for the Directorate. The ability to speak Welsh is desirable for this post; English and/or Welsh speakers are equally welcome to apply.

Main duties of the job

To be considered for this role we are looking for an individual with experience of providing excellent executive assistant support alongside skills in business management, you will need to be able to demonstrate attention to detail and be competent in diary management and in taking minutes.

You will also have excellent personal and interpersonal skills (both verbal and written) and be able to engage with stakeholders at all levels across Wales. You will have the ability to efficiently manage time and competing priorities and report, address and escalate issues in a timely and effective manner.

The post holder will manage meetings including the collation, tracking and dissemination of papers, taking of minutes and management of actions.

The role will include planning and organising complex activities and logistics, providing high level support as required, ensuring that the Deputy Chief Executive and senior managers are provided with appropriate support.
