Job summary

An exciting opportunity has arisen within the Cardiology Department for an Outpatients Coordinator. This is a part time position, 19 hours per week and must include working on a Monday and Friday until 5pm.

We are looking for an enthusiastic and motivated individual with excellent communication and administration skills to join our team. Experience of working in an Office/NHS setting would be beneficial.

Main duties of the job

  • To manage all clinic and diagnostic appointments.
  • Provide a high-quality service when booking patient appointments, prepping clinics, undertaking patient-facing reception duties, and dealing with telephone queries.
  • To ensure that urgent and routine patients are treated within the agreed target waiting times.
  • Liaise with clinical and non-clinical staff to ensure excellent standard of care.

Band 2 - £11,964 per annum

Type of Contract - Permanent, Part-time 19 hours per week

Key Responsibilities :

  • To work as part of the Cardiology Outpatient department administrative team booking outpatient appointments in accordance with waiting time guidelines, advising the Administration Manager of any difficulties in meeting these targets.
  • Responsible for allocation of referrals to appointment slots, adjust clinics & rebook clinics as appropriate, and assist with co-ordination of clinics to ensure maximum use of all available clinic activity.
  • Deal with correspondence, urgent clinic letters, reports and action as required.
  • Deal with minor verbal complaints from patients & relatives.
  • To use the hospital computer systems, PAS, SECTRA, ICE, EPRO, TOMCAT, Minestrone, CRIS AND E Referral ensuring that all data input is done accurately and on time. ( Training will be provided)

Qualifications

Essential

  • At least 5 GCSEs at grade A-C.
  • ECDL certificate or equivalent experience of keyboard/computer use.

Desirable

  • NVQ level 3 or equivalent in administration (or working towards).

Experience

  • Demonstrable varied administration experience (i.e. working in an office environment, customer care).

Desirable

  • Experience of working in a healthcare environment using healthcare systems such as PAS.

Skills & Knowledge

Essential

  • Excellent verbal and written communication skills.
  • Able to deal/liaise with staff at all levels.
  • Able to prioritise and plan workload.
  • Confidentiality and discretion.
  • Proven skills in use of word processing packages (Microsoft Office).
  • The ability to work using own initiative and without supervision.

  • Understanding of Medical terminology.
