Main duties of the job

We have a great opportunity for you to join us as a Finance Administrator in our dynamic Finance Team here at Portsmouth Hospitals University NHS Trust.

This role will be instrumental in supporting the development & delivery of the financial reporting provision for the Trust, along with support for costing, planning, forecasting and various sources of income data across the acute sites.

The post holder will be responsible for helping to ensure that financial reporting is aligned to the latest available guidance, and provide administrative support during the development of financial improvement schemes and business cases.

The ability to analyse and manage financial and business operations is fundamental in supporting the success of the values and strategic objectives of the Trust. As a Finance Administrator, you will be responsible for supporting the delivery of financial information services to a significant part of the trusts business, ensuring that managers and clinicians have the information that they require to deliver the highest quality and most appropriate services to our patients. In addition, the Finance Administrator will help to ensure that high quality analysis is available to support the delivery of key performance targets, supporting the finance and corporate functions with many of their reporting needs.

For leaders managing staff across multi-site locations, you will need to be visible and provide in person leadership. The arrangements and frequency will be agreed locally.

Job responsibilities

  • Assist the Financial and Information Planning team with regular financial reporting.
  • Support the maintenance of financial key performance indicators.
  • Update and enter data onto Trust Information Systems, ensuring accuracy of data and appropriate distribution.
  • Provide an administration service across the Finance department, including effective diary management and monitoring of the team group mailbox.
  • Organise and administer meetings on behalf of the Financial and Information Planning team. Ensure all timely email communications to attendees and room bookings are made.
  • Prepare and distribute meeting agendas, attend meetings to take minutes as required, create sets of minutes that use professional language, ensure distribution of any action plans and follow up any actions as required.

  • Provide ad hoc information to support decision making, including analysis of poor performing areas to support change.

  • Educated to NVQ level 3 or equivalent.

Desirable

  • Certificates in Microsoft Excel, Access and Word.

Experience

  • Strong computer skills, including spreadsheet, word processing, outlook and database.
  • The ability to work and deliver to tight deadlines.
  • Be able to ensure information is accurate before sharing with the wider organisation.

Desirable

  • NHS experience working within a Trust or for CCG/CSU.
  • Experience of contracting currencies and methodologies i.e HRGs
  • Knowledge of PbR (Payment by Results).

Skills and Knowledge

  • Excellent communication skills.
  • Able to work and concentrate in a busy and demanding environment.
  • Ability to prioritise workload and to work under pressure to tight deadlines.
  • Clearly manage priorities in order to meet specific tight deadlines.
  • General understanding of the NHS and key developments shaping the financial agenda.
  • NHS Data Standards and terminology including clinical datasets.
