Job summary

The Medical Staffing Assistant will promote excellence in customer service by being the first point of contact for managers and Medical and Dental staff for a designated Care Group across the Trust. The post holder will offer advice and guidance and provide proactive, comprehensive and professional day-to-day HR support services to present, future and past members of staff, bank workers and honorary staff. The Medical Staffing assistant will support the recruitment for Medical and Dental staff within the Trust, in line with current policies and procedures.

Working as part of a dedicated team, we are looking for a well organised, enthusiastic and motivated individual with great attention to detail to join our busy Medical Staffing Team at the Royal Devon University Healthcare NHS Foundation Trust.

In this Medical Staffing Assistant role, you will work closely with service management and clinical colleagues in the specialties in order to undertake a variety of high value and time critical tasks.

In this role there will be a particular focus on undertaking all medical & dental recruitment activity for which on-going systems training will be provided as you develop into the role.

Other tasks include, but are not limited to (please see Job Description for full list of duties):

  • Recruitment of certain grades of Medical and Dental staff (including overseas recruitment);
  • Managing the recruitment process for Resident Doctors who are rotating as part of their training programme;
  • Issuing of contracts and work schedules within set timescales which inform on doctors pay
  • With support, providing professional and timely day-to-day advice to managers and employees on a range of Medical Staffing issues including employment contract queries, terms and conditions queries and recruitment processes.
  • To be an expert in Resident Doctors terms and conditions,
  • Supporting visa applications for overseas doctors by issuing certificates of sponsorship.

You will interact and establish a strong rapport with both medical and managerial colleagues.

You must possess excellent customer-care, attention to detail, administrative and organisational skills; along with an ability to analyse situations, problem solve and provide solutions; being assertive when required in order to work to the required multitude of deadlines of the varying pieces of work required of this role.

You will be proficient with Excel and able to manipulate spreadsheets and produce reports.

This role offers the opportunity to work with a great, friendly and supportive Team.

This role offers the opportunity to work in a hybrid approach with both office and home working but there is an expectation that you will attend meetings at one of the main hospital sites (Exeter or Barnstaple) on a regular basis.

You will be expected to uphold the reputation of the Medical Staffing Team, build trust and confidence with stake-holders and continuously strive to improve and develop services to support the medical workforce.

Working Pattern: 37.5 hours per week. Monday to Friday
