Administrative Assistant (Wheelchair Service)

Job summary

To make and receive phone calls to patients, taking queries, booking repair appointments, entering referrals onto the computer system and making appointment reminder calls.

Ensure all paperwork/electronic notes are actioned; escalating any work or decision making required.

Carry out filing, photocopying, scanning, typing of emails and simple letters as requested by team.

The Exeter Mobility Centre Wheelchair Service provides wheelchairs to over 7,000 patients across East, North and South Devon with a long term indoor mobility need. There are two main elements of the service; the clinical team provide assessments for manual and powered chairs, which can include specialist seating. The Repair team, which joined the service in June 23, provide on-going maintenance and repairs.

This role will be based in the main office working as part of an Administration team. The post holder will need to take incoming calls, which are mainly from patients and log requests/referrals as required on the in-house patient record system, BEST. The post holder will also need to make telephone calls to patients to remind them of upcoming appointments, prepare paperwork for clinics and take telephone enquiries.

A strong administrative background, excellent telephone manner and ability to remain calm under pressure is required. This is a busy role within a supportive team.

Working Pattern: 22.5 hours across at least 3 days, two of which must include Monday and Friday.
