Job summary

An exciting opportunity has arisen to join our friendly and dedicated Cardiac service based at Bitterne Health Centre.This 25 hour per week admin role is predominantly office based, however there will be opportunities for some home working.

We are looking for a committed, highly motivated and forward-thinking individual with an interest in ensuring an excellent patient experience.

You will provide comprehensive admin support to the Cardiac service, effectively prioritising and managing your workload. You will need experience of administration, excellent organisational and IT skills. You will need to have strong communication skills, both verbal and written, have a flexible approach to working and be an excellent team player.

Job responsibilities include managing telephone calls into the service, processing referrals and managing waiting lists, organising rotas & clinics, booking clinic appointments and ensuring slots are filled, use of Microsoft 365 and electronic patient systems for the majority of tasks.

The Cardiac service provides a multifaceted package of cardiac care, including GP with specialist interest in cardiology (GPSIc), specialist nurses & other healthcare professionals. The key elements of the service are GPSI Community Cardiac Outpatient Service and Cardiac Rehabilitation.

Main duties of the job

  • To work as part of a skill mix team to provide comprehensive administrative support to the Community Cardiac service.
  • To effectively prioritise and manage own workload and oversee workload of team as necessary, whilst maintaining confidentiality and diplomacy at all times, both independently or as part of a team.
  • To work without direct supervision and show extensive use of initiative in prioritising and making decisions in relation to effectively supporting the smooth operation of the service.
  • Use & accurately populate the electronic record system (Systm One) with information to include referrals, scanning & uploading information from other services in a timely manner etc., taking responsibility for the quality of the data & taking note of the Health Records Standards & Procedures & Record Keeping Policy.
  • Follow agreed processes for dealing with emails on Outlook, on a regular basis prioritising urgency & importance, signposting/dealing with queries (often sensitive) regarding issues arising.
  • Attend & participate in team/other meetings, ensuring any actions are completed by the required date & take minutes if requested.
  • Provide cover & support during times of absence for the core functioning of the admin team.
  • Maintain current office policies & procedures, be actively involved in their development.

About us

We have been working with other local NHS Trusts to create a new organisation, bringing together all community, mental health and learning disability services from across Hampshire and Isle of Wight. Subject to approvals, the aim is for the new Trust to be formed by the end of 2024.

Project Fusion is the name for the programme to create the new combined NHS Foundation Trust. Hampshire and Isle of Wight Healthcare NHS Foundation Trust will be bringing the services into a single organisation will result in more consistent care, more equitable access to services irrespective of postcode, and a more sustainable workforce and services. The new organisation will operate locally to ensure services can best meet the needs of different communities.

The new Trust will be comprised of all the services currently provided by Solent NHS Trust and Southern Health NHS Foundation Trust, the community, mental health and learning disability services provided by Isle of Wight NHS Trust and child and adolescent mental health services delivered in parts of Hampshire by Sussex Partnership NHS Foundation Trust.
