Closer2Home is a new service, offering a therapeutic intensive home treatment Programme to young people living in Hampshire and Dorset. You will join an established admin team, which includes administrators in Dorset and Hampshire, as well as a CPA co-ordinator that spans the whole service.
You will be based within Solent NHS Trust across Portsmouth and Southampton, with some cross service support at times. Administrators are key to our Trust, supporting our service users and clinicians. There will be four C2H Teams operating across Hampshire and Dorset, employed by number of NHS Trusts who will work in an integrated way. The C2H teams will also work collaboratively with community CAMHS, children's services, colleagues involved in 'transforming care,' bed and case managers and local inpatient units; with inter-agency networking a critical part of the service model.
As a Team Administrator, you will be required to support all the C2H Teams, and liaise with other departments and services and to respond effectively to enquiries from the general public, service users, referrers and other agencies. You will consistently deliver a client focused service, which promotes good customer service and effective working relationships.
Main duties of the job
*To provide comprehensive and efficient secretarial support to the C2H teams; this will include handling all aspects of correspondence, including processing referrals and dealing with telephone enquiries.
*Liaise with other directorates and staff at all levels, both internally and externally.
*Ensure that all documents and correspondence are filed correctly.
*To produce from audio and hand-written notes, word processed letters and reports to a high standard of presentation and accuracy using appropriate Trust templates, in line with Trust guidelines. Some letters and reports may contain very distressing content.
*To be responsible for initiating and sending out, without reference, routine correspondence and a variety of self-help information.
*To be responsible for managing the diaries of the team and prioritising competing needs
*To be responsible for preparation of non-routine papers.
*Organise and facilitate relevant meetings, preparing the agenda, taking minutes.
*To open and process incoming and outgoing mail for the team.
*To prepare presentation materials.
