Job summary

You will be joining our team in Southampton as an MPP Admin Supervisor and you will work closely with our MPP Admin & Business Manager to lead and motivate our teams to provide a quality service to our clinical colleagues.
As an Admin Supervisor, you will be responsible in ensuring the service is running smoothly and be able to provide relevant training and advice to the team. You will work closely with the MPP Admin Management team to ensure that all departments within the unit are appropriately supported.
We are looking for a well organised individual with good communication and keyboard skills, a good standard of literacy and numeracy with an ability to maintain accurate records. You will be required to liaise with patients, clinicians, staff and other agencies to ensure the smooth running of the service and appointment systems.
Experience in the use of Microsoft Office, Excel, Word and Outlook is essential and training will be given in the use of SystmOne, which is the clinical software system used by the service.
Main duties of the job
Manage & supervise use of electronic record system (System One) ensuring accurate information regarding child health records, to include scanning/uploading information in a timely manner, including data cleansing & reporting as required
Supervise & overview systems/databases
Input & retrieve statistical information from relevant electronic records system, analysing & converting the information into appropriate formats & reports
Supervise admin staff liaising by telephone or in person with clients & other healthcare professionals, promoting good judgement to identify requirements in order to pass on information correctly or take appropriate action
Carry out audits of competencies
Alert the line manager of any potential breaches in relation to Information Governance & timescales for processing referrals
Supervise the reporting of defective equipment or health & safety issues, without delay to your line manager & in accordance with Trust requirements, taking responsibility for your own office environment & supervising staff within your team with this process
Resolve & mitigate any practice breaches in agreed Service Admin systems alerting line manager once options are exhausted
Act on suggestions made in relation to improving systems/processes implementing agreed changes & escalating good practice ideas & unresolved system issues
Undertake internal change projects to address ineffective practices identified
